Team Assistant

Reporting to the President and Managing Directors, the Team Assistant will undertake various day-to-day office clerical tasks and provide administrative and operational support to the Managing team and the global Sight and Life team.

This position is part-time, between 50 – 80%. The starting date is on June 1, 2023.

Responsibilities

Administrative Support

  • Manage the Leadership Team’s calendar, including prioritizing and managing a complex schedule of commitments and ensuring the calendar is accurate and kept up-to-date
  • Manage the Leadership Team’s travel bookings and logistics
  • Oversee the logistics for the global Sight and Life team’s conference participation (registration, travel arrangements)
  • Greet and assist visitors to the Sight and Life office in Kaiseraugst, Switzerland
  • Support with event coordination, logistics, travel arrangements of speakers and other activities as assigned
  • Maintain a clean and organized archival system, including the organization’s photo database and email distribution list
  • Coordinate the logistics for the preparation, production, distribution, and shipping of Sight and Life publications
  • Provide administrative travel support to Sight and Life team as needed, including travel and hotel bookings, invitation letters for visa applications, shipments, etc.
  • Manage inquiries to Sight and Life’s general inboxes
Qualifications

Background and Experience

  • At least 5 years of experience with an international company or NGO is required
  • Experience supporting executive-level staff is preferred
Skills
  • Proficient in Microsoft Office (Word, Excel and PowerPoint), QuickBooks knowledge is a strong asset
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, Board members, external partners, and donors
  • Strong written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with decision-making capability
  • Highly resourceful team player with intercultural competences, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion and be adaptable to various competing demands
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Forward-looking and entrepreneurial thinker, who actively seeks opportunities and proposes solutions and improvements
Language requirements
  • English fluency (verbal and written) required; German and/or French a plus
